When people think about live events, they often imagine the final experience: the stage, the lighting, the atmosphere and the seamless presentations. What they rarely see is the planning, problem-solving and technical precision behind the scenes that allow a high-end event to feel effortless. For the private wealth management event, the behind-the-scenes work began months before guests arrived. Pixl was approached by the agency’s Production Manager to provide audio, lighting, and video production for an annual wealth management event attended by approximately 122 guests.

Led by Paddy Collier, Director of Production Management at Pixl, the technical delivery required a careful balance between quality, practicality and discretion. While the event was not the largest or most technically complex production, the expectations around finish, reliability and presentation were high.

Designing Around a Private Island Venue

Set on a private island on the River Thames, Monkey Island Estate provided a distinctive and exclusive backdrop for private wealth management. But for the production team, the same setting that made the venue feel special also shaped the technical planning behind the event.

For Pixl, the process began with a site survey in February, during which Paddy reviewed the venue, plans, and practical considerations for delivering audio, lighting, and video within the space. With access to the island limited by a bridge, equipment movement, scheduling and setup all had to be carefully considered before the team arrived on site.

“You can see the constraints of working on an island, so everything has to come over that bridge. Literally, there’s no other way onto this island unless you swim or come by boat.”

The event was held in a tented structure, which introduced another layer of technical considerations. For an event of this kind, production teams would often fly equipment from overhead trusses, providing greater height, flexibility, and control for lighting and audio. In this case, the roof structure could not support the required weight, so Pixl had to use a ground-supported setup instead.

Rather than treating this as a limitation, the team adapted the technical approach around the venue. The setup had to deliver the required quality while respecting the structure, the access route and the overall feel of the event space.

“The challenge comes when you get on-site. The venue created the atmosphere, but it also shaped the technical delivery.

Audio, Lighting and Video Delivery in Sync with the Event Design

The event format was built around fireside chat-style conversations rather than traditional lectern presentations. With 14 speakers scheduled across the day, the stage needed to feel open, polished and conversational, while still giving presenters clear access to the content they needed throughout each session.

To support this, Pixl provided two 98-inch monitors, alongside two 43-inch downstage monitors for the presenters. These allowed speakers to see what was appearing behind them, follow upcoming slides and view notes where required. A PDS 4K switching system was used to manage signals across the screens, allowing the team to control what appeared on each screen during the event.

The solution needed to be both technical and design-sensitive. The Agency’s event design created a refined visual setting, so the production setup had to work in harmony with that direction rather than interrupt it. Every visible element needed to feel intentional within the space.

Rather than allowing the technical setup to visually dominate, Pixl selected equipment and finishes that would sit quietly within the agency’s overall design direction. The aim was not only to light the stage effectively, but to ensure the production felt integrated into the space.

Architectural uplighting was also placed around the tent to add warmth and atmosphere, helping the space feel considered, polished and aligned with the guest experience.

The result was a technical approach built around restraint and precision. Audio, lighting and video were not treated as separate layers added onto the event, but as part of the overall guest experience. Pixl’s role was to make the technology feel integrated, allowing the design, the speakers and the atmosphere of the event to remain at the centre.

Experienced Live Event Project Management

Paddy’s approach to the project is shaped by decades of experience in live events. Having started in the industry in the early 1980s, he has worked across multiple levels of event delivery before moving into project management and then becoming the director of production management at Pixl.

“For me, the build-up to the event is probably the part I enjoy most. Once you’re on site, if everything has been planned properly, the challenge becomes responding to the space you’re in and making the right decisions about what can and can’t be done. That comes with experience.”

That balance between preparation and adaptability was central to Pixl’s delivery for the private wealth management event. The planning mattered, but so did the ability to respond to the venue, the structure and the practical realities of the space once the team arrived on site.

Agency Collaboration and On-Site Making

For Paddy, one of the project's strongest parts was working with the agency.

Although this was Pixl’s first time working with this particular partner agency, Paddy had worked with the events project manager before on other projects, including TikTok in Rome and Gamescom. That existing relationship helped create a strong technical dialogue between the agency and the supplier.

That relationship is an important part of the story. Live event delivery depends not only on equipment and technical planning, but also on communication between the people responsible for bringing the event together. When those relationships are strong, decisions can be made more confidently, and the team can respond more effectively on site.

The private wealth management event was not about technical scale for its own sake. It was about precision, restraint and delivering a production that matched the quality of the event.
